Schedule: Monday-Friday, 8:30am-5:00pm (on-site)

Location: Baltimore, MD

Pay Rate: $21-$21.50/hour

Position Summary

Ultimate Staffing's Baltimore-based client is seeking a reliable, professional, and personable Administrative Support Specialist to provide front desk coverage and essential donor services support. This role is primarily phone and email based with low foot traffic and requires a high level of attention to detail, compassion, and ownership of work.

This is a temporary position with strong potential to convert to permanent if it's a good fit for both the candidate and the organization.


Key Responsibilities

Front Desk & Office Operations

  • Answer and appropriately route incoming phone calls
  • Monitor and respond to emails in the general inbox
  • Greet and welcome occasional visitors in a professional, courteous manner
  • Coordinate with internal staff and building security regarding visitor access

Donor Services & Administrative Support

  • Prepare and send donor gift acknowledgements
  • Create letters and perform mail merges using Microsoft Word
  • Enter, update, and maintain accurate donor records in the CRM system
  • Process incoming donor gifts with accuracy and attention to detail
  • Manage administrative tasks related to the tribute gift card program
  • Notify appropriate departments of donor activity as needed

Qualifications

  • 3-5 years of experience working with CRM databases
  • Experience with multiple database systems preferred (Salesforce is a plus)
  • Strong proficiency in Microsoft Office, especially Word and mail merges
  • Exceptional attention to detail and organizational skills
  • Compassionate, patient, and committed to providing excellent customer service
  • Professional, punctual, and personable demeanor
  • Self-directed with the ability to take ownership of tasks and problem-solve independently
